Welcome to Minuvox! These Terms of Service ("Terms") govern your use of our free appointment booking software and website. By accessing or using our service, you agree to be bound by these Terms.
1. Acceptance of Terms
By creating an account, accessing, or using Minuvox appointment booking software, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, please do not use our service.
2. Free Service with Advertising Support
Minuvox provides appointment booking software completely free of charge. Our service is supported by advertising to maintain this free access for all users.
Free Service Includes:
- Complete appointment booking functionality
- Calendar management and scheduling
- Staff and client management
- Service organization and pricing
- CSV import capabilities
- Invoice generation
- Multi-tenant security
Advertising Terms:
- Ads are displayed to support the free service model
- We use Google AdSense and similar advertising networks
- Ad personalization requires your consent (GDPR compliant)
- You may not interfere with, modify, or block advertisements
3. User Accounts and Registration
To use Minuvox, you must create an account and provide accurate, complete information. You are responsible for:
- Maintaining the security of your account credentials
- All activities that occur under your account
- Providing accurate and up-to-date information
- Using the service for legitimate business purposes only
4. Acceptable Use Policy
You may use Minuvox to:
- Manage appointments for your legitimate business
- Store client and staff information securely
- Generate invoices and manage services
- Access all features provided in our free platform
You may not use Minuvox to:
- Store illegal, harmful, or offensive content
- Violate any laws or regulations
- Interfere with the operation of our service
- Attempt to reverse engineer or copy our software
- Block, modify, or interfere with advertisements
- Use automated systems to access our service improperly
5. Your Data and Privacy
You retain ownership of all data you enter into Minuvox. We provide enterprise-grade security with organization-based data isolation to protect your information.

6. Service Availability
While we strive to maintain high availability, Minuvox is provided "as is" and we cannot guarantee uninterrupted service. We may:

- Implement security measures that may affect access
7. Intellectual Property
Minuvox and its features are protected by intellectual property rights. You receive a limited, non-exclusive license to use our software for its intended purpose.
8. Limitation of Liability and Disclaimers
8.1 Service Provided "AS IS"
THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS. WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT GUARANTEE UNINTERRUPTED, SECURE, OR ERROR-FREE OPERATION.
8.2 Financial Liability Cap
OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS SHALL NOT EXCEED THE GREATER OF (A) ZERO DOLLARS (AS THIS IS A FREE SERVICE) OR (B) ONE HUNDRED DOLLARS ($100), REGARDLESS OF THE CAUSE OF ACTION OR THEORY OF LIABILITY.
8.3 Excluded Damages
TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:
- Lost profits, revenue, or business opportunities
- Business interruption or operational delays
- Data loss, corruption, or unauthorized access
- Loss of appointments, bookings, or client relationships
- Third-party claims or demands
- Cost of substitute services or software
8.4 Force Majeure
We are not liable for any delays, failures, or damages caused by circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, pandemic, government actions, internet outages, or third-party service failures.
9. Termination
You may stop using Minuvox at any time. We may suspend or terminate accounts that violate these Terms. Upon termination, you can export your data within a reasonable timeframe.
10. Indemnification
You agree to indemnify, defend, and hold harmless Minuvox, its officers, directors, employees, and agents from and against any and all claims, damages, obligations, losses, liabilities, costs, or expenses (including reasonable attorney fees) arising from: (a) your use of the service; (b) your violation of these Terms; (c) your violation of any third-party rights; or (d) any content or data you submit through the service.
11. Dispute Resolution
11.1 Governing Law
These Terms shall be governed by and construed in accordance with the laws of South Africa, without regard to conflict of law provisions. For users in the European Union, local consumer protection laws may also apply.
11.2 Dispute Resolution Process
Before initiating any legal proceedings, you agree to attempt to resolve disputes through:
- Direct negotiation with our support team
- Mediation through a mutually agreed mediator
- If unresolved, binding arbitration under South African law
11.3 Class Action Waiver
You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action.
11.4 Time Limitation
Any claim or cause of action arising under these Terms must be filed within one (1) year after the claim or cause of action arose, or it will be forever barred.
12. Data Retention and Security
12.1 Data Retention
We retain your account data for as long as your account remains active. Upon account termination, we will delete your data within ninety (90) days unless legally required to retain it longer for compliance, tax, or legal purposes.
12.2 Security Breach Notification
In the event of a security breach that may affect your personal information, we will notify affected users within seventy-two (72) hours where feasible, in accordance with applicable privacy laws including GDPR and POPI Act requirements.
12.3 Cross-Border Data Processing
Your data may be processed and stored in the European Union. We ensure appropriate safeguards are in place for international data transfers in compliance with applicable privacy laws.
13. Changes to Terms
We may update these Terms from time to time. We will provide notice of significant changes via email or prominent notice in the service, and update the "Last Updated" date. Continued use after changes constitutes acceptance of the updated Terms. If you do not agree to changes, you must stop using the service.
